Important: This document is drafted as a practical India-focused privacy and consumer-facing policy for Zodopt. It is not a substitute for advice from an Indian advocate or privacy professional. Before publishing, Zodopt should insert its registered office address, grievance officer details, actual retention periods, vendors/processors, and any product-specific refund terms.

1. About Zodopt

Zodopt Technology Solutions Pvt Ltd (“Zodopt”, “we”, “us”, or “our”) provides technology, business transformation, software implementation, consulting, training, digital marketing, automation and related technology services. Our services may include implementation and support for third-party software platforms, our own products, subscriptions, professional services, training programs, webinars, workshops and other digital or technology-enabled offerings.

2. Scope of this Policy

This Policy applies to personal data collected or processed by Zodopt through zodopt.com, our forms, landing pages, customer portals, applications, webinars, events, training programs, sales and support interactions, email, telephone, messaging channels and other services operated by Zodopt.

Where a particular Zodopt product or service has a separate privacy notice, terms of service, subscription agreement, statement of work or order form, that document may contain additional terms. In the event of a conflict, the specific contractual terms will govern the relevant service to the extent permitted by applicable law.

3. Applicable Indian Legal Framework

Zodopt intends to handle personal data in accordance with applicable Indian law, including, as applicable to the relevant processing and from their respective effective dates, the Digital Personal Data Protection Act, 2023 and the Digital Personal Data Protection Rules, 2025; the Information Technology Act, 2000 and applicable rules; the Consumer Protection Act, 2019 and, where applicable, the Consumer Protection (E-Commerce) Rules, 2020 and amendments; applicable tax and electronic transaction laws; and other applicable laws, regulations and directions.

The DPDP Rules, 2025 were notified on 14 November 2025 with a phased commencement schedule. Accordingly, references in this Policy to DPDP obligations are intended to apply to the extent the relevant provisions are in force and applicable to Zodopt’s processing.

5. Purposes for Processing Personal Data

• To respond to enquiries, demos, consultations and service requests.

• To create and administer customer, participant or user accounts.

• To deliver, configure, support and improve products and professional services.

• To process payments, invoices, refunds, credits and related accounting/tax requirements.

• To conduct training, webinars, events, assessments and certification administration.

• To send service communications, transaction notifications, security alerts and important updates.

• To send promotional or marketing communications where permitted and, where required, based on consent or other lawful grounds.

• To prevent fraud, abuse, unauthorized access and security incidents.

• To comply with legal, regulatory, tax, accounting and lawful governmental requirements.

• To establish, exercise or defend legal claims and protect Zodopt, customers and third parties.

6. Consent, Notice and Choice

Where consent is required, Zodopt will seek consent through an appropriate notice and affirmative action. Consent may be withdrawn subject to applicable law and to the consequences of withdrawal where processing is necessary for a service requested by the individual or required by law.

Marketing communications will include an appropriate opt-out mechanism where required. Withdrawal of marketing consent will not affect transactional or legally required communications.

7. Cookies and Similar Technologies

Zodopt may use cookies, pixels, analytics tools and similar technologies for essential website functions, security, performance, analytics, remembering preferences and, where permitted, marketing. Where consent is required for non-essential cookies or similar technologies, Zodopt will provide an appropriate consent or preference mechanism.

8. Sharing and Disclosure of Personal Data

Zodopt does not sell personal data as a business practice. We may disclose or make personal data available to service providers, technology vendors, payment processors, hosting providers, analytics providers, communication providers, professional advisers, auditors, implementation partners and other processors where reasonably necessary for the purposes described in this Policy.

We may also disclose information where required or permitted by law, pursuant to lawful requests, court or governmental orders, to protect rights or safety, to investigate fraud or security incidents, or regarding a merger, acquisition, restructuring, financing or sale of business assets, subject to applicable law.

9. Third-Party Platforms and Integrations

Zodopt may integrate or implement third-party platforms and services, including business software, payment gateways, communication platforms, analytics services and cloud infrastructure. Such providers may process data under their own privacy policies and contractual arrangements. Customers should review the relevant third-party privacy terms where appropriate.

10. International and Cross-Border Processing

Some service providers or technology infrastructure used by Zodopt may process or store information outside India. Any such processing will be subject to applicable Indian law, contractual safeguards and any restrictions or requirements that apply to the relevant transfer or processing.

11. Data Security

Zodopt maintains reasonable administrative, technical, operational and physical safeguards appropriate to the nature of the information and the risks involved. Measures may include access controls, authentication, least-privilege access, secure configurations, backups, monitoring, contractual controls and incident-response processes, as appropriate.

No method of transmission or storage can be guaranteed to be completely secure. Users and customers are responsible for protecting their account credentials and for promptly reporting suspected unauthorized access.

12. Data Retention

Zodopt retains personal data only for as long as reasonably necessary for the relevant purpose, service, contractual relationship, legal obligation, dispute resolution, fraud prevention, accounting/tax requirements or other lawful purposes. Retention periods may vary by data category and service.

When personal data is no longer required, Zodopt will take reasonable steps to delete, anonymize or otherwise dispose of it in accordance with applicable law and operational requirements.

13. Your Privacy Rights and Requests

Subject to applicable law and the effective provisions of the DPDP framework, individuals may have rights including access to information about processing, correction/update of inaccurate data, withdrawal of consent where processing is based on consent, erasure where applicable, and grievance redressal. Requests may require reasonable verification of identity to protect against unauthorized disclosure.

To submit a privacy request, contact the Privacy/Grievance contact listed in Section 18. Zodopt will handle requests in accordance with applicable law and the timelines prescribed by applicable law.

14. Children’s Data

Zodopt does not knowingly seek to collect personal data from children except where such processing is lawfully undertaken as part of an authorised program, service or educational activity. Where applicable, Zodopt will follow requirements relating to verifiable parental consent and restrictions on processing children’s data under the DPDP framework and other applicable law.

15. Data Breach and Incident Response

If Zodopt becomes aware of a personal data breach, it will assess and respond to the incident and make notifications to affected individuals and/or the relevant authorities as required by applicable law, including the applicable DPDP Rules once the relevant provisions are in force.

16. Changes to this Privacy Policy

Zodopt may update this Policy to reflect changes in law, technology, services or business practices. The revised version will be published with an updated effective or last-updated date. Where required by law, Zodopt will provide additional notice or obtain consent.

17. Refund & Cancellation Policy

This section applies to purchases of Zodopt services, training, workshops, subscriptions, digital products and other offerings unless a product-specific order form, proposal, statement of work or subscription agreement states different terms. Nothing in this Policy limits any non-waivable right available to a consumer under applicable law.

Zodopt Professional Services: Zodopt’s implementation, consulting, customization, integration, migration, training, support and other professional services are governed by the applicable Zodopt proposal, quotation, Statement of Work (SOW), order form, service agreement and Zodopt Refund & Cancellation Policy. For Zoho Products, please refer to Zoho’s Privacy Policy and Refund policy for more details.

Third-Party Software Licensing & Subscriptions: For Zoho products and other third-party software products purchased or subscribed to through Zodopt as a partner, the applicable software provider’s licensing, subscription, renewal, cancellation and refund terms will apply to the relevant software license or subscription.

17.1 General Cancellation Principles

• Cancellation requests should be submitted through the email address or support channel specified on the applicable order, invoice or website.

• A cancellation is effective only when acknowledged or otherwise accepted by Zodopt, unless the applicable contract or law provides otherwise.

• For professional services, cancellation after work has commenced may result in charges for work already performed, approved expenses and committed third-party costs.

• For customized software, implementation, development, consulting or other made-to-order services, cancellation/refund eligibility will be governed primarily by the applicable proposal, statement of work or service agreement.

17.2 Refund Eligibility

Unless a different written commercial term applies, Zodopt will generally consider a refund where a customer cancels before the relevant service has commenced and where the service/order is reasonably capable of being cancelled. For services already substantially delivered, consumed or customized, a full refund may not be available.

Examples of circumstances where refunds may be restricted include:

• A training, webinar, workshop or event has already taken place or the participant has materially consumed the service.

• A software subscription, license or digital service has been activated and access has been provided, except where a contractual or legal refund right applies.

• Custom development, configuration, implementation, consulting or other professional work has already been performed.

• Third-party fees, licenses, payment processing charges or non-refundable commitments have been incurred, where legally permissible.

• The customer has materially breached the applicable order, subscription terms or acceptable-use requirements.

17.3 Training, Webinar and Event Cancellation

Unless the event-specific registration terms state otherwise, cancellation requests received at least 48 hours before a paid training/workshop may be considered for a refund or transfer to a future session, subject to availability and applicable administrative/third-party charges. Requests received within 48 hours, after the event begins, or after attendance/access has been materially provided may be non-refundable. Zodopt may offer rescheduling or credit at its discretion.

17.4 Subscription and SaaS Services

Subscription cancellations normally take effect at the end of the paid billing period unless the applicable subscription terms provide otherwise. Where a subscription has been activated, unused periods are not automatically refundable unless expressly stated in the applicable order/subscription terms or required by law.

17.5 Service Failure, Duplicate Payment or Incorrect Charge

If a payment is duplicated, incorrectly charged, or Zodopt is unable to deliver a paid service for reasons attributable to Zodopt, the customer should notify us promptly. After verification, Zodopt will provide an appropriate refund, reversal, credit or alternative remedy, as applicable.

17.6 Refund Processing

Approved refunds will ordinarily be initiated within 7–10 business days after approval and completion of any required verification. The actual time for credit to the customer’s bank/card/wallet account may depend on the payment gateway and financial institution. Refunds will generally be made to the original payment method, subject to applicable payment-system and legal requirements.

Where a tax invoice has been issued, Zodopt may issue an appropriate credit note or other tax documentation where required under applicable GST/tax law.

17.7 Refund Requests

Refund requests should include the customer’s name, invoice/order number, date of payment, amount paid, service/product purchased, reason for the request and relevant payment details. Zodopt may request additional information reasonably necessary to verify the transaction.

19. Governing Law and Jurisdiction

This Policy is governed by the laws of India. Subject to applicable consumer protection laws and any mandatory jurisdictional rights available to a consumer, disputes will be subject to the jurisdiction of the competent courts/tribunals at Bengaluru, Karnataka.
